Program Administrator
JOB OVERVIEW

Join us as a Program Administrator and play a key role in supporting our Governance and Organizational Development practice areas—spending approximately two‑thirds of your time with Governance and one‑third with Organizational Development. In this dynamic role, you’ll partner with consultants, leaders, and clients to ensure flawless delivery of programs, board evaluations, and operational support—making a meaningful impact across the organization.

In addition to an annual bonus opportunity and competitive benefits, the salary range for this position is $58,000-87,000 annually.

JOB RESPONSIBILITIES
Program & Project Support
- Assist with scheduling, meeting coordination, and logistics for programs, consultant engagements, and board evaluations.
- Support the preparation of proposals, program materials, presentations, reports, and participant communications.
- Maintain accurate documentation, project tracking, and status updates across all Governance deliverables.
- Help coordinate logistics for virtual programs (Zoom setup, links, file uploads, chat monitoring, participant support).
- Manage registration tasks for programs, including attendee tracking, confirmations, and distributing agendas or materials.
- Helps support the logistics and operations for projects and programs.
Administrative & Operational Support
- Provide administrative support to the Administrative Program Manager, including calendar coordination, document preparation, and correspondence.
- Maintain organized department files, archive materials, and ensure accurate record retention.
- Assist with processing invoices, expense tracking, and coordination with Accounting and Administrative Program Manager for budget reconciliation.
- Support updates to the Learning Management System (LMS) and website with program data, materials, and session information.
- Assist with contracting faculty/speakers, collecting bios and materials, and tracking deliverables.
Client Service & Communication
- Respond promptly to client inquiries and provide high-quality customer service.
- Draft and format clear written communication to clients, stakeholders, and internal teams.
- Support the setup and collection of evaluation surveys; compile basic results or summaries for review.
- Maintain positive working relationships with board members, executives, and consulting staff.
Administrative Tools & Technical Tasks
- Assist in administering third-party assessments (e.g. DiSC, CliftonStrengths, Qualtrics)—sending links, tracking completions, and organizing results.
- Provide basic data entry and reporting support using Excel, Hubspot, LMS tools, or survey platforms.
- Support process documentation and continuous improvement initiatives within the Governance department.
JOB REQUIREMENTS
- Minimum of 3 years of administrative support experience required (professional services or consulting environment preferred).
- Proficiency with Microsoft Office (Teams, Word, Excel, PowerPoint, Outlook) required
- Experience with LMS platforms, event registration tools (e.g., Cvent), CRM systems, or survey tools preferred.
- Experience supporting online programs or webinars preferred.
- Data entry or basic reporting experience preferred.
- Strong written and verbal communication skills.
- High attention to detail, accuracy, and organization.
- Ability to manage multiple priorities, meet deadlines, and adjust to shifting demands.
- Professional presence and comfort interacting with executives and board members.
- Ability to work independently and collaboratively within a small team environment.
